Job Summary:


We at Jockey Club Catering are looking for an enthusiastic, confident individual to join our hospitality department as a Hospitality administration assistant at one of the UK's top sporting venues, Newmarket Racecourse, which hosts a variety of events ranging from world class horseracing to large scale Conferences and Events all year round.


The Hospitality and Administrative Assistant plays a key role in supporting the hospitality operations. This position involves providing administrative and accounts support as well as ensuring exceptional customer service during race days and conferences and events. Working with Clients, General Managers and Head Chefs from both Newmarket and Huntingdon racecourses. Operating and maintaining systems ensuring the highest standards of accurate and timely information to all as required.


Key Responsibilities:


Administrative Support:

  • Complete all associated administration for Newmarket and Huntingdon racecourses.
  • Complete and distribute conference and event orders for Newmarket and Huntingdon Racecourses.
  • Ensuring the accurate records are made and details filed in accordance with company and procedure.
  • Transfer relevant information on the EBMS system in accordance with the training given to ensure the reporting is accurate.
  • Maintain an efficient filing and follow up system.
  • Handle general office duties, including filing, data entry, and managing correspondence.
  • Respond to the pace of the business in terms of speed of work and productivity.
  • Meet all timely deadlines as advised by the client and senior team.
  • Deal with queries and credit notes as required


Hospitality Coordination:

  • Support the planning and execution of hospitality events, including catering, seating arrangements, and special requests.
  • Assist in the discussion and organisation of menus and bespoke packages for Weddings/ Special Events/ Exhibitions if required.
  • Manage the relationship at an appropriate level with the client.
  • Attend food tastings as required.
  • Attend regular team meetings to discuss ideas and receive updates on new ideas and initiatives.


Customer Service:

  • Provide a warm and welcoming experience for guests attending events.
  • Maintain a professional ‘Can Do’ attitude at all times.


Event Support:

  • Attend briefings on a Raceday and assist the Hospitality manager on regular walk arounds.
  • Help with on-the-day operations, ensuring everything runs smoothly.
  • Deal with any issues that may arise in the Hospitality Managers absence


Compliance and Safety:

  • Ensure compliance with health and safety at work, food hygiene, fire regulations, licencing Law, Sales of goods/ trading standards.
  • Maintain a clean and organized work environment.


Requirements:


  • Maintain a professional ‘Can Do’ attitude at all times.
  • Actively promote the development of team spirit
  • Ensure that every customer is given a polite and friendly service.
  • Ensure office stationery is ordered and restocked when necessary.
  • Support the hospitality manager in effective liaison with the prime client to ensure the continual development of the partnership.
  • To ensure the full and clear communication of all client requirements and expectations to the overall team
  • Previous experience in hospitality or administrative roles is preferred.
  • Ability to work flexible hours, including weekends and holidays.
  • Excellent communication and interpersonal abilities.
  • Strong organizational and multitasking skills.


Qualifications:

  • GCSE or equivalent passes in Maths or English
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
